What is a proof of delivery (POD)?

In international transport, everything revolves around certainty and control. Whether you work as a freight forwarder, shipper, or transport manager, delivering on time and being able to prove that your shipment has arrived is crucial. That’s where the proof of delivery — also known as the POD document or delivery receipt — comes into play.

In this blog, we explain what proof of delivery is, why it’s important, and how it works in the daily practice of transport between the Netherlands, the United Kingdom, Belgium, and Germany.

What is proof of delivery?

A proof of delivery is literally the confirmation that goods have been delivered to the agreed destination. It’s usually a document — physical or digital — that is also signed by the recipient. This can be a traditional consignment note, but also a digital document, a photo, or even a confirmation by email. In transport terminology, proof of delivery is often abbreviated to POD. For nearly every shipment — whether it’s a single pallet or a full truckload — a POD is required.

POD in short

  • Proof of delivery, signed by the recipient
  • Essential for processing and invoicing
  • Increasingly provided in digital form
  • Required in cases of claims, disputes, fraud, or insurance matters

Why is a proof of delivery document important?

The importance of a POD is often underestimated, yet in practice, it’s indispensable. The POD protects all parties in the logistics chain — the shipper who wants to prove that the goods have been delivered, the freight forwarder who needs to inform their client, and the receiver who wants assurance about what has been received.

At EASY Road, we notice that many transport managers and freight forwarders want to receive a POD immediately after delivery is completed. This allows them to act quickly, issue invoices, or reassure their customers. It also helps prevent fraud, as without proof of delivery a shipment can easily be disputed.

Proof of Delivery

POD as evidence in case of disputes

If a dispute ever arises about damage, loss, fraud, or the time of delivery, the proof of delivery document is the only solid evidence. Without a correct and complete POD, you are in a weaker position as a carrier or client when dealing with insurers or legal proceedings. This applies to every shipment, whether it involves a few pallets or larger loads.

Different forms of proof of delivery

Proof of delivery is no longer just a paper consignment note with a signature. Thanks to digitalization and smart systems, there are now several ways to obtain a POD, each with its own advantages. Below we discuss the most common forms.

Physical document: consignment note or delivery receipt

Traditionally, delivery takes place using a paper consignment note or delivery receipt. The driver asks the recipient to sign the document, sometimes adding a company stamp. It is then scanned or physically handed over to the transport planner or administrative department.

Digital: faster, easier, and more secure

Most carriers now work with a digital proof of delivery. The recipient signs on a smartphone or tablet, and the driver often takes a photo of the delivered goods or the signed document. The digital POD is then sent directly by email or made available through the customer portal. This gives you near real-time proof of delivery, no matter the destination. Ideal for businesses that need to move fast.

Track & Trace systems

Modern carriers link proof of delivery directly to their Track & Trace systems. You can track your shipment in real time, and as soon as the delivery takes place, you immediately receive the POD or can download the proof. This approach provides maximum transparency throughout the supply chain, especially for international transport or when dealing with high-value shipments.

Additional requirements for transport to the UK and the EU

For transport between the Netherlands, Belgium, Germany, and the United Kingdom, proof of delivery requirements are stricter than for domestic transport. Customs procedures, export regulations, and liability issues require extra attention, especially after Brexit. More and more recipients and authorities now demand a digital POD immediately after delivery.

Pay attention to the following when handling international shipments:

  • Accurate information: Name, date, signature, and address must be correct.
  • Clear description of the goods: Make sure it is immediately clear what has been delivered — for example, the number of pallets, the type of goods, and the shipment number.
  • Fast availability: Especially for urgent shipments or valuable goods, having the POD available immediately is crucial.
  • Retention period: For customs and tax regulations, you must keep the proof of delivery in your records for at least seven years. This requirement is often also stated in your logistics partner’s terms and conditions.

The role of the freight forwarder and the transport manager

At EASY Road, freight forwarders rely on us to arrange transport for their clients. They want to inform their customers quickly and keep things moving. The digital POD provides that certainty: once the delivery is completed, the forwarder receives the proof and can immediately update their client. This way, you meet your customer’s business expectations efficiently.

Speed, control, and transparency

A proper proof of delivery speeds up the entire logistics process. You can invoice faster and handle everything immediately, without complications afterward. When you, as a freight forwarder or transport manager, receive the correct POD right away, you can act instantly — no waiting times and no paper documents taking days to arrive.
